• Contact, inquiry, and booking information, such as your name, work email, company, team size, location, scheduling details, and project-process questions you choose to answer.
• Account and organization information, such as your profile, role, organization membership, and authentication details.
• Product content, such as projects, tasks, checklists, assignments, progress updates, compliance records, and documents uploaded by authorized users.
• Communications, feedback, and support requests you send to us.

2. Information Collected Automatically

When you use the website or product, we and our service providers may receive technical information such as page URLs, referring pages, browser and device type, operating system, timestamps, approximate location, IP address, diagnostic events, and security logs.

If you open or use the embedded Google Calendar booking experience, Google may receive technical information and the booking details you submit in order to schedule the meeting and create the Google Meet invitation. Google handles that information under its own terms and privacy practices. We do not use the marketing site to run cross-site behavioral advertising.

3. How We Use Information

• Respond to inquiries and evaluate whether Flou fits an organization's workflow.
• Provide, operate, support, and improve Flou.
• Set up accounts, organizations, permissions, workflows, and requested product features.
• Process documents and other content at an authorized user's direction.
• Monitor reliability, diagnose problems, prevent abuse, and protect users and the service.
• Communicate about service changes, support matters, and account participation.
• Comply with applicable law and enforce our agreements.

4. Document and AI Processing

Flou may use automated and AI-assisted tools to extract or organize information from documents that authorized users submit. We and our service providers may process document text and related metadata only as needed to provide, secure, troubleshoot, and improve the requested functionality, subject to the applicable evaluation, pilot, or customer agreement. Automated results may be incomplete or incorrect and should be reviewed by a qualified person.

5. How Information May Be Disclosed

We may disclose information in the following circumstances:

• To service providers supporting hosting, scheduling, video meetings, email, storage, monitoring, security, and document processing, subject to their applicable terms and contractual obligations.
• To authorized users and administrators within the organization that controls the relevant Flou account.
• When you direct us to disclose information or give us consent.
• When reasonably necessary to comply with law, protect rights and safety, investigate misuse, or respond to lawful requests.
• In connection with a financing, merger, acquisition, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.

6. Data Retention

We retain information for the period reasonably needed to provide the website and product, support customers and participants, maintain security and business records, resolve disputes, and comply with law. Retention may also depend on the instructions of the organization that controls an account. Backup copies may remain for a limited period after deletion. A formal retention schedule will be confirmed before broader commercial availability.

7. Security

We use reasonable administrative, technical, and organizational measures intended to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send passwords, payment-card information, or highly sensitive personal information through the contact email address.

8. Your Choices and Requests

You may ask to access, correct, or delete information you provided directly to Flou, or ask us to stop nonessential communications, by emailing us. If your information belongs to an employer or other organization using Flou, that organization may control the relevant account and we may refer your request to its administrator. We will respond as required by applicable law and contractual obligations.

9. Children's Privacy

Flou is a business service and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can review and address the request.

10. Processing in the United States

Flou and its service providers may process and store information in the United States and other locations where they operate. Privacy protections in those locations may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy as our practices or legal obligations change. We will post the updated version on this page and revise the date above. Material changes may also be communicated through the product or by email when appropriate.
